The Real Question
When an organisation installs a conference room AV system, a video wall, or an auditorium audio setup, the next decision is almost always: "How do we maintain it?"
Two models are available: an Annual Maintenance Contract (AMC) — a fixed annual fee for regular servicing and breakdown support — or on-demand / one-time repairs — paying per visit when something breaks. The right choice depends on your system complexity, usage intensity, and risk tolerance.
What Does an AMC Cover?
A well-structured AMC from GPSPL typically includes:
- Preventive maintenance visits — quarterly or bi-annual inspection, cleaning, cable checks, firmware updates
- Priority breakdown response — guaranteed response time (typically 4–8 business hours for critical systems)
- Labour cost coverage — no per-visit charges for covered breakdowns
- Consumable replacement — projector lamps, batteries, minor parts (varies by AMC tier)
- Software and configuration support — UC platform updates, control system reprogramming
- Annual system health report — condition assessment, proactive replacement recommendations
Cost Comparison
| Scenario | AMC Model | Break-Fix Model |
|---|---|---|
| Annual cost (medium install) | ₹40,000 – ₹1,20,000/year | ₹0 (no breakdowns) to ₹2,00,000+ |
| Single display failure | Covered under AMC labour | ₹3,500 – ₹8,000 visit + parts |
| Control system reprogramming | Usually covered | ₹8,000 – ₹25,000 |
| Projector lamp replacement | Covered in full AMC | ₹12,000 – ₹45,000 |
| Response time guarantee | Yes (contractual SLA) | No — subject to availability |
| Budgeting predictability | Excellent — fixed annual cost | Poor — unpredictable |
| Best for | Heavy-use environments, critical systems | Low-use, simple installs |
When AMC Makes Sense
An AMC is almost always the right choice when:
- The system is used daily (conference rooms, training halls, reception screens)
- You have a CFO or board presentation scheduled — downtime is unacceptable
- The installation includes complex integration (Crestron/AMX control systems, DSP audio)
- Your team has no internal AV support capability
- The system is under warranty — an AMC ensures the warranty is not voided by unauthorised service
- You operate a hotel, hospital, educational institution where disruption affects hundreds of people
When Break-Fix (On-Demand) Makes Sense
Pay-per-repair works reasonably well when:
- The system is simple — a single display with a cable box
- Usage is infrequent (monthly meetings, occasional events)
- You have in-house IT support capable of basic AV troubleshooting
- The installation is less than 1 year old and under full manufacturer warranty

| Enterprise | 4-hour response | Unlimited | Labour + all parts |
All GPSPL AMCs include a dedicated service engineer, 24/7 WhatsApp support line, and an annual system health report. Learn more about GPSPL AMC services.
Our Recommendation
For any AV installation above ₹2 lakh in a business environment, we recommend signing an AMC from year one. The cost of a single major breakdown — a failed DSP, a burnt amplifier, a misconfigured control system — can easily exceed the annual AMC fee. Beyond cost, the peace of mind and guaranteed response time are worth significantly more to most organisations.
Start with a Standard AMC in the first year to understand your system's support requirements, then upgrade to Professional if you find the response time or preventive visit frequency insufficient.
